Invite two to four agencies to pitch. Fewer than two provides too little basis for comparison. More than four is time-consuming for everyone—and all agencies are investing time in a proposal with no guarantee of winning the contract. In formal bidding processes (government, large corporations), there is sometimes a minimum requirement of three agencies. Select agencies whose specialization, scale, and style align with your type of event. Review their references and verify whether they have previously organized similar events.
