Introduction

We respect the privacy of people who provide us with personal data. We will secure and treat the personal data you provide as confidential. We comply with the General Data Protection Regulation (GDPR), the Telecommunications Act, and other privacy regulations.

In this privacy statement, we inform you about the purposes for which we use your personal data. We will only process the personal data obtained for the purposes for which it was provided. We also explain how we use your personal data and what retention periods we apply.

What personal data do we process about you and for what purpose?

We process the personal data we need for your participation in an event. In many cases, we will ask you for the following personal data: name, address, place of residence, and telephone number of the participant, gender, date of birth, title, position, company name, and bank details (if required for payment or security purposes). We need this personal data to offer, deliver, and invoice our services for an event.

We will not disclose your personal data to third parties without your prior consent, unless we are required to do so by law or court order, or in the event of another vital interest on your part. The latter could include health data if you become unwell during an event.

In order to execute the agreement, we require this personal data to facilitate your participation in an event, hotel accommodation, or catering requirements, as well as invoicing. In addition, we have an interest in this data to respond to specific requests.

We retain this personal data until the agreement with you has been fulfilled and for up to seven years thereafter, partly because the tax authorities require us to do so.

We collaborate with certain companies. These partners may therefore receive your personal data. They will only use your personal data for the purpose of organizing the event and providing you with tailored information. If partners are located outside the European Economic Area, we will always ask for your consent before they receive your personal data.

Third-party websites

Our websites contain links to other websites. This privacy statement does not apply to those websites. The same applies to the social media buttons on our website. These websites may have different privacy policies over which we have no influence. This privacy statement only applies to personal data that you provide to us (in person or via the website). You are responsible for clicking on these buttons and providing your data.

We only use the personal data provided for the purposes described above. We may disclose the bank details you have provided to third parties for the purpose of processing payments. As a processor, this third party is also obliged to comply with the privacy rules that we have laid down in writing.

Contact form and newsletter

You can use the contact form to ask us questions. By using the contact form, you give us permission to contact you to make an appointment or to send you specific information.

You have the option to subscribe to our newsletter. For this purpose, we use your phone number, email address, and name.

We have a legitimate interest in storing this data in order to contact you. We store this personal data until we are certain that your questions have been answered and then for up to six months for any follow-up to a conversation.

You can subscribe to our newsletter. You can unsubscribe at any time. Each newsletter contains an unsubscribe link.

This data will be stored for up to three months after you unsubscribe from the newsletter. You can also send an email stating that you no longer wish to receive the newsletter.

Sensitive information

We will remove any special personal data (health, race, etc.) from questions, complaints, or other matters, if possible.

We do not collect any special personal data, such as data about your health (or other special personal data), unless this is necessary for the execution of an event and then only with your consent.

Rights relating to personal data

If you have any questions or would like to know what personal data we hold about you, please feel free to contact us. You have the following rights:

  2. Access to your personal data;
  3. Correcting legitimate errors;
  4. Removing outdated data;
