Decoration and styling go beyond flowers and balloons. It’s about translating your event concept into a visual experience that captivates guests the moment they walk in. The atmosphere, the color, the scent, the lighting—these are all elements of styling that, together, define the feel of a space.

This article covers how to approach the decor for your event, from the planning phase through to the execution on the day itself. It highlights the elements that make the biggest impact and the mistakes you’ll want to avoid.

Start with the concept: design as interpretation

Good decoration starts with a clear concept. Not: “We want something festive.” But: “We’re celebrating our 50th anniversary; our roots are in the Port of Rotterdam; we want a look that’s proud, industrial, and warm all at once.” That concept allows you to make choices. Maritime accents. Dark wood tones. Copper-colored fixtures. Warm amber lighting.

Every element in your decoration plan should be tied back to the concept. Why this color? Why this type of flower? Why this arrangement? Decor that isn’t based on a concept feels haphazard—even if the individual elements are beautiful on their own.

Make sure the decor concept aligns with the organization’s identity. A tech startup and a law firm have different tastes and different audiences. A startup communicates in an informal, bold, and colorful way. A law firm communicates in a stylish, restrained, and precise way. The decor should reflect that.

The layers of decoration: from light to detail

Event design consists of layers. The more layers you consciously incorporate, the richer the experience. These are the most important layers for corporate events.

Light is the most powerful element. More than any other element, light determines the atmosphere of a space. Warm amber light makes a space feel intimate and cozy. Cool blue-white light makes it feel formal and businesslike. Colored washes on walls or ceilings completely transform a neutral space. Don’t forget the practical lighting either: the bar well-lit, the entrance bright, the stage sharply illuminated.

Floral arrangements are the most visible element. A few statement pieces placed strategically—at the entrance, the podium, and the tables—make a bigger impact than lots of small arrangements scattered everywhere. Choose seasonal flowers. They’re more beautiful, fresher, and more affordable.

Furniture and props: Rental furniture can completely transform the feel of a space. Coffee tables, lounge sofas, or bar tables with the right finish add more character than standard venue furniture. Props—such as vintage suitcases, large wooden letters, or oversized vases—add depth to a backdrop or photo wall.

Table presentation: Table decor is up close and personal. Table runners, placemats, napkin rings, place cards with a beautiful font—every detail counts at the table. Guests are sitting right there and really notice it.

Location transformation: from vacant to fully occupied

Not every venue has a natural atmosphere. Sometimes you rent an exhibition hall, an office space, or a blank canvas that needs to be fully decorated. That sounds challenging, but it also offers the most freedom.

Start with the dimensions. A high-ceilinged hall has different decorative needs than a low-ceilinged room. In a high-ceilinged space, focus on vertical elements: large ceiling installations, hanging floral arrangements, light tent banners, and large drapes. In a low-ceilinged space, focus on horizontal elements: wide displays, low floral arrangements, and wall decorations.

Use zones to organize a large space. Reception area, dining area, lounge area, stage area. Each with its own decor that suits its purpose. Guests move from one atmosphere to another—and that’s enriching on a subconscious level.

Also keep the practical requirements in mind. Are you allowed to attach anything to the ceiling? Is there a clearance height for trucks? What setup times are available? Many venues allow decorations up to a certain height but have restrictions on drilling, gluing, or hoisting. Always check this before finalizing your decoration plan.

Budget and priorities: what are your goals?

A decorating budget is never unlimited. The question isn’t how much you spend, but what you spend it on. Decor has a direct impact on the atmosphere—but that doesn’t apply to all elements to the same degree.

The three elements with the most visible impact are lighting, the entrance, and the tables. Lighting offers the most bang for your buck. The entrance sets the first impression. The tables are viewed up close all evening. If you have to choose, invest here.

Elements with relatively low impact include: large background structures that go unnoticed, decorations in rooms that are only used briefly, and filling in areas where guests rarely go.

For a comprehensive decoration package for an event with 200 guests, expect to budget between €5,000 and €15,000—depending on the scale of the decor, the type of flowers, and whether you rent furniture. Large-scale transformations for major galas start at €20,000 and can go well beyond that.
