The healthcare sector is different—and that calls for different kinds of events

But there’s more to it than that. Healthcare workers bear the heaviest burden day in and day out. They’re always there for others. That’s why an event for healthcare staff isn’t just a party or a team-building day—it’s a moment of genuine recognition. A moment that says: now we’re here for you.

If the timing isn't right, it feels like just another box to check off. If it is right, it becomes a memory that people carry with them—sometimes for years.

What healthcare workers need from an event

Healthcare workers are a unique group. They are used to giving, not receiving. They are often accustomed to limited resources and modest ambitions. And they are extremely practical: if an event involves too much hassle, they’ll drop out before it even starts.

That doesn’t mean they don’t value recognition. On the contrary. But the recognition has to feel genuine. Not glossy, not overly formal, but warm, personal, and human.

What works well for healthcare staff:

Accessibility. An event that’s not just for day shift workers, but also for those working evening or night shifts. Multiple time slots, or a format that fits different schedules.

Casual yet polished. Healthcare workers generally aren’t fond of formal gala dinners. But they do appreciate a beautiful venue, good catering, and a program that shows some thought has gone into it.

Personal recognition. A manager who calls people by name. A moment of sincere gratitude. That’s more powerful than a generic speech about “the great team.”

No business agenda. It’s a party, not a team meeting. No presentations on budget cuts. No strategic talk. Just have fun.

Formats that work in the healthcare sector

Not every event format works well in the healthcare sector. These are the four that are most often suitable:

Staff party. The classic annual occasion for recognition and relaxation. It works best if you organize multiple locations or time slots so that night shift employees can attend as well. Budget: €30 to €80 per person for an evening with dinner and entertainment. Make sure the program is inclusive and reflects the diversity of the team.

Team day or team-building. Designed to strengthen collaboration within a department or team. Works well for teams that work together under high pressure. Choose activities that boost energy and bring out laughter, not those that fuel competition. A healthcare team already faces enough stress in their daily work.

Anniversary Celebration. A healthcare organization that has been in existence for 50 or 100 years has a story to tell. That story brings people together, even across generations. An anniversary event is a powerful opportunity to strengthen identity and culture.

Themed event or inspiration day. Focused on a specific theme: workload, well-being, or innovation in healthcare. Combines a substantive program with a lighthearted break. Works well when the content is truly relevant to the employees, not when it’s a hidden management message.

Schedules, staffing, and logistics: how do you handle that?

Three approaches that work:

Spread the event out over several sessions. Organize the same event two or three times on different days and at different times. It costs more, but it ensures that everyone really has a chance to attend. A staff party on Friday evening automatically excludes night shift workers and people with childcare responsibilities. Add a Saturday afternoon session.

Work with team scheduling. Plan the event well in advance and collaborate with the schedulers to arrange staffing around the event date. Give employees at least 6–8 weeks’ notice. Short notice is often unfeasible in the healthcare sector.

Choose a format that can be scaled down. If part of the team can’t attend, the event should still work well with a smaller group. Avoid formats that only work if everyone is present.

We’ll help you get your planning off to a solid start, ensuring that the event is logistically feasible and remains substantively strong. You can read more about planning principles in our article on creating an event script.

Budget and funding: healthcare events are custom-tailored

Healthcare organizations often operate on tight budgets. That’s no surprise. And it can sometimes make organizing an event a sensitive issue: is this really justifiable when we’re cutting costs elsewhere?

The answer: a well-organized event is an investment, not a luxury—especially during busy times. Employees who feel valued are less likely to take sick days, are less likely to leave, and actively recruit new colleagues. This has direct financial and economic value.

  • Informal team-building day (half-day, lunch, activity): €50 to €120 per person
  • Staff party (evening program, dinner, entertainment): €60 to €120 per person
  • Anniversary celebration (day package or gala): €100 to €250 per person
