Why good technology should be invisible

Technology at a business event is like the foundation of a house: when it works, you don’t notice it. When it fails, everything comes crashing down. Think of a microphone cutting out just as the CEO delivers his key message, or a projector failing right before a product launch. These are the moments guests remember—for all the wrong reasons.

Technology for corporate events encompasses multiple disciplines. These include audio (PA systems, wireless microphones, monitoring), visuals (projection, LED walls, screens), lighting (ambient lighting, spotlights, moving heads, laser effects), and video (live streaming, recordings, on-screen content).

Professional technical production is not a luxury but a basic requirement. It makes the difference between an event where everyone can hear and see clearly and one where 30 percent of the audience cannot follow the presentation properly.

Sound at events: the foundation of every experience

Sound is the most critical technical aspect of any event. Poor sound quality can ruin a presentation, a musical performance, or a panel discussion, even if everything else looks perfect. Good sound is invisible: everyone can hear everything clearly, without echoes, noise, or volume issues.

For corporate events, we distinguish between speeches and presentations, music and entertainment, and background music and ambiance. For venues with challenging acoustics (high ceilings, hard walls), an acoustic assessment is required. Be sure to schedule this early in the production process.

Light and image: atmosphere, visibility, and experience

After sound, lighting and visuals are the most important technical elements at corporate events. They determine the atmosphere, the visibility of speakers and screens, and the overall experience of the space.

Mood lighting adds character to a venue. Downlights in the venue’s signature colors or dynamic colored lighting that changes in sync with the program are relatively affordable. They have a significant impact on the overall experience.

For presentations, you typically project onto a large screen. For large events, an LED wall offers greater brightness and flexibility.

Live streaming and hybrid technology

Hybrid events place additional demands on technical production. An online participant experiences the event solely through video and audio. If the quality is poor, they will quickly lose interest.

A professional livestream requires at least five elements: multiple cameras, a dedicated audio mix, a stable wired internet connection, a streaming platform, and a technical director to monitor the stream.

Costs of technical services for corporate events

A basic technical setup for 50 to 100 people typically costs between €1,500 and €3,000, including staff. This would include a presentation evening with sound, projection, and basic lighting.

A full-scale production for a staff party or kick-off event typically costs between €8,000 and €20,000. This includes 500 guests, a stage, an LED wall, mood lighting, and a PA system.

Larger-scale production events featuring bands, special effects, and live streaming can cost €30,000 or more. Cutting corners on technology is one of the most common causes of disappointment at events.

How much time do you need to organize a corporate event?

Start planning at least three months in advance. For large events (300+ guests, complex production), six months is more realistic.

The planning process consists of four phases. First, laying the groundwork (12 to 10 weeks before the event), then developing the concept and securing partners (10 to 6 weeks). Next comes the detailed planning (6 to 3 weeks), and finally, execution and follow-up in the last 3 weeks. Popular venues and artists book up quickly in the fall.

How do you write a good briefing for a corporate event?

A good briefing should include at least six elements. These are: the objective, the target audience, the number of guests, the desired date, the budget, and any special requirements (venue, dietary restrictions, travel time).

Write it down on a single sheet of A4 paper. Share it with your project team and your agency. Without a briefing, everyone works based on assumptions. That leads to a messy result.

What is the difference between a corporate event and a staff party?

A staff party is specifically for employees: it’s an internal, intimate gathering with a more relaxed atmosphere. A corporate event has a broader scope and can be a staff party, but it can also be a conference, kick-off, anniversary celebration, or client event.

The difference lies in the approach: a staff party is all about celebrating and building connections. A corporate event, on the other hand, can also serve strategic goals, such as knowledge sharing, brand positioning, or cultural change.
