Why choose an outdoor corporate festival?

There are events you organize. And then there are events that people remember. An outdoor corporate festival falls into the latter category. The combination of open space, fresh air, an open-air stage, and the freedom of a real festival grounds creates an experience that no indoor venue can match.

The weather is the biggest wild card at an outdoor festival. No other event relies as heavily on a solid weather strategy as this one. You can’t control the weather, but you can prepare for it very well.

Three rules for planning weather-proof outdoor events: 1. Plan for tents or canopies to cover at least 50% of your guests. Not as an option, but as standard. A rain shower can come on quickly. 2. Have a backup plan for the main program. If the weather is really bad, you need to be able to move the stage performance to a covered area without the atmosphere falling apart. 3. Communicate the weather plans to guests in advance. “The festival will go on in the rain; here’s what you can expect” gives people a sense of security and prevents disappointment.

The best time of year for outdoor corporate festivals in the Netherlands is from May through September. May and June are ideal (long days, no risk of heat waves). July and August are warm but unpredictable. September is beautiful but requires good heating options in the evening.

Always apply for permits from the municipality at least 8 weeks in advance. Some municipalities have longer processing times. Start early and work with an agency that is familiar with this process—this is not the time for last-minute decisions.

How much does an outdoor corporate festival cost? A festival for 200 people starts at €25,000. For 500 people, expect to pay between €50,000 and €100,000. For 1,000+ people, expect to pay €100,000+. The biggest cost items: venue and tents (20–30% of the budget), entertainment (15–25%), catering (20–30%), and production such as lighting, sound, and AV (15–20%). Don’t forget to budget for permit procedures, first aid, and security.
