The concept is the foundation of every successful event. It sets the tone, conveys the message, shapes the program, and defines the experience. Without a concept, you have a collection of disjointed elements. With a concept, you have a cohesive narrative.

A good concept does three things: it translates your goal into an experience, it aligns with your organization’s DNA, and it surprises your target audience. It’s the common thread that ties everything together, from the invitation to the closing.

Yet concept development is often skipped. Organizations start with the venue and the entertainment, rather than with the "why" and the story. It’s like building a house without a blueprint.

Step 1: The Strategic Briefing

Every concept starts with the right questions. Not “What location do we want?” but “What does this event need to achieve?”

A good briefing includes: the purpose of the event, the target audience and their expectations, the key message you want to convey, the available budget and any constraints, and the desired atmosphere and tone.

Step 2: Creative exploration

After the briefing, the creative phase begins. This is where ideas take shape, where you think outside the box, and where the concept comes together.

A good creative exploration explores multiple directions. Not just one idea, but three to five conceptual directions, each offering a different perspective. This allows you to compare, combine, and choose the strongest direction.

When thinking about concept directions, consider: a theme that aligns with your brand identity, a narrative approach that takes guests on a journey, an interactive concept that turns guests into participants rather than spectators, or a surprising format that defies expectations.

Step 3: From concept to implementation

A concept is only valuable if it is incorporated into every aspect of the event. We call this the concept development.

The scope of work includes: visual identity (brand guidelines, colors, visual style), communications (invitations, save-the-date cards, social media), venue selection and decor, program planning and entertainment, catering and beverages, and all the details that enhance the experience.

The concept should be evident at every touchpoint—from the moment guests open the invitation until they head home. Every decision you make should align with the story.

Common mistakes in concept development

There are a few common pitfalls you can avoid.

Too broad a concept: a concept that tries to be everything is nothing. Dare to make choices and focus your efforts.

Concept vs. decoration theme: A concept isn’t a Hawaiian night or a casino theme. It’s a meaningful narrative that aligns with your organization.

No execution: a strong concept on paper that isn't brought to life in practice is a missed opportunity.

Don't forget the target audience: the concept should appeal to the people who will be attending, not just to what the organizing team likes.

Starting too late: Concept development takes time. Start at least 4–6 months in advance.

How much does concept development cost?

The cost of concept development depends on its complexity and depth.

Guide prices:

  • Concept proposal (one-way): €1,500 – €3,000
  • Comprehensive concept development (3 options): €3,000 – €7,500
  • Full concept development, including visual design: €7,500 – €15,000

At many agencies, concept development is included in the total project fee. At Live Impact, this is also the case; we do not charge separately for the concept if you entrust us with the entire process.
